Quotation, estimate or invoice?
These are three different commitments and the distinction matters legally. A quotation is a firm price for a defined scope, and once a client accepts it, it generally forms a contract at that price. An estimate is an approximation that may change as the work becomes clearer. An invoice is a demand for payment for work already delivered. Being explicit about which you are issuing avoids arguments later about whether a figure was binding.
What an invoice has to contain
At minimum: a unique invoice number, the issue date, your business name and address, the customer's details, an itemised description, the amounts, any tax shown separately with its rate, the total due, and the payment terms. Requirements vary by country, and VAT or GST registration normally adds mandatory fields such as your registration number.
Number invoices sequentially without gaps, since most tax authorities expect an unbroken series. A prefix such as 2026-001 helps organisation; restarting the sequence per customer makes reconciliation and audits harder.
Terms, and getting paid
Net 30 means the full amount is due 30 days from the invoice date. 2/10 Net 30 offers a 2 percent discount for payment within 10 days. For larger projects, a deposit before commencement and staged payments against milestones is standard practice and materially reduces the risk of non-payment.

No. Everything stays in your browser and nothing is transmitted or stored on a server, so closing the tab discards it. Save or print the finished document first, and keep your own copy for your records.
How do I save the document as a PDF?▼
Use your browser's Print command and choose Save as PDF as the destination. That produces a self-contained file suitable for emailing, with the layout embedded so it renders the same for the recipient.
How long should a quotation remain valid?▼
Thirty days is the common default. Stating an explicit expiry date protects you against cost changes and against a client accepting a months-old price, so put a specific 'valid until' date on the document.
